These Terms and Conditions ("Terms") govern your use of the website located at NorthernAceEvents.com and your engagement of prop hire and event entertainment services provided by Northern Ace Events ("we," "us," or "our"), operating from 505 Ferry Rd, Winnipeg, MB R3J 1W5, Canada. By accessing our website or placing a booking with us, you agree to be bound by these Terms in full.

1. Nature of Service

Northern Ace Events is a prop hire and event entertainment company. All equipment provided — including but not limited to casino tables, chips, tokens, playing cards, and ancillary décor — is supplied strictly for entertainment purposes. No monetary value attaches to any chip, token, or currency provided as part of our service. No real money gambling takes place at any event we supply or support. We are not a gaming operator and do not hold, nor are we required to hold, a gaming or gambling licence.

2. Booking and Payment

2.1 Enquiry and Quotation

All bookings commence with a written quotation issued by Northern Ace Events. A quotation is valid for 14 days from the date of issue. Quotations are not binding on either party until a booking agreement is signed and a deposit is received.

2.2 Deposit and Balance

A non-refundable deposit of 30% of the total quoted price is required to confirm your booking. The remaining balance is due no later than seven (7) days prior to the event date. For bookings made within 14 days of the event date, the full balance is payable immediately upon signing the booking agreement.

2.3 Payment Methods

We accept payment by Interac e-Transfer, major credit and debit cards (Visa, Mastercard), and company or certified cheque. All prices are quoted in Canadian Dollars (CAD) and are subject to applicable GST.

3. Cancellation and Refund Policy

3.1 Client Cancellation

• Cancellation more than 28 days before the event: Full deposit refund, less a $50 administrative fee.
• Cancellation 14–28 days before the event: 50% of the deposit is refunded.
• Cancellation fewer than 14 days before the event: No refund is issued. The full balance remains due if already invoiced.
• No-show or failure to provide venue access on the event day: Full balance is forfeited.

All cancellations must be submitted in writing to info@northernaceevents.com.

3.2 Cancellation by Northern Ace Events

In the unlikely event that we must cancel due to circumstances beyond our reasonable control (force majeure, including severe weather, equipment failure, or health emergencies), we will provide as much notice as possible and offer a full refund of any amounts paid, or a credit toward a rescheduled date, at your election.

4. Equipment, Damage, and Loss

All equipment remains the property of Northern Ace Events at all times. The client is responsible for ensuring that hired equipment is used appropriately and is not damaged, lost, or stolen during the hire period. The hire period begins upon delivery to the venue and ends upon collection by our crew.

In the event of damage to or loss of equipment, the client will be invoiced for the full replacement cost of the affected items at current retail rates. We reserve the right to charge a cleaning fee if equipment is returned in a condition requiring professional cleaning.

5. Venue and Site Responsibilities

The client is responsible for ensuring the event venue is accessible, safe, and suitable for the equipment specified in the booking. This includes adequate floor space, power supply where required, and compliance with any venue capacity or fire safety requirements. Northern Ace Events reserves the right to decline setup at a venue deemed unsafe.

6. Liability

Northern Ace Events carries comprehensive public liability insurance. Our liability in respect of any claim arising from the provision of our services is limited to the total value of the booking. We are not liable for any indirect, consequential, or economic loss arising from our service, including but not limited to losses arising from event cancellation, guest injury unrelated to our equipment, or venue issues.

7. Age Restriction

Our services are intended for events attended by persons aged 18 years and over. The client is responsible for ensuring that all guests who interact with casino-themed equipment at their event are aged 18 or above. Northern Ace Events accepts no liability for underage participation where the client has failed to enforce this restriction.

8. Intellectual Property

All content on this website, including text, images, graphics, and design, is the property of Northern Ace Events or is used under licence. No content may be reproduced, distributed, or used for commercial purposes without our prior written consent.

9. Website Use

This website is provided for informational and booking purposes only. We make no warranty that the site will be continuously available or free from errors. We are not responsible for the content of any third-party websites linked from our site.

10. Governing Law

These Terms are governed by and construed in accordance with the laws of the Province of Manitoba and the applicable federal laws of Canada. Any disputes arising from these Terms or our services shall be subject to the exclusive jurisdiction of the courts of Manitoba.

11. Changes to These Terms

We reserve the right to update these Terms at any time. The current version will always be available on our website at NorthernAceEvents.com/terms.html. Continued use of our website or services following any update constitutes acceptance of the revised Terms.
